In Strato’s latest 1.23.400 Release Version, we're enhancing workflow management with the new "Workflow Execution" and “Containers” oData entities to allow seamless data integration, real-time updates through API calls, and dynamic handling of workflow-specific data containers. Alongside this update, we're introducing the ability for Strato Admins to configure custom URLs for their systems via the Admin Tool, providing greater control over their system configurations. These updates in Strato Automate and Strato Platform streamline workflow management and enable system customization for a more tailored Strato user experience.

Enhancements and New Features
Custom URL for Strato Systems
Strato Admins now have the ability to define custom URLs for their systems – by simply checking the new “Override URL” option under system URL in the Admin Tool, administrators can input and apply custom URLS tailored to their particular server environments. This feature offers flexibility and precision by ensuring that each Strato system is perfectly aligned with an organization’s unique infrastructure requirements.
Workflow Reporting
To streamline the process of extracting reports from Strato Automate, we’ve developed new oData entities that can be directly queried via API. This enhancement allows for the seamless collection of insights relevant to Workflow Execution, the Containers in use, and user decision data, providing users with easier access to essential information directly from the system.
oData Entity - Workflow Execution
The new “Workflow Execution” oData entity elevates the workflow reporting capabilities in Strato by allowing effective management, storing, and retrieving of workflow data via API calls. Relevant key fields have been added to support this addition and ensure comprehensive tracking.
oData Entity - Containers
The "Containers" oData entity improves the data handling and integration capabilities of workflow executions by facilitating a robust storage and management of data containers, which are essential components holding data values across workflow steps. Each container is uniquely identified and can be associated with form fields for streamlined data flow and integration within business processes. All interactions in this entity are also dynamic to ensure that the system accurately captures the current state of data.
Other Updates
The following fixes were deployed in Strato's 1.23.400 Version:
To ensure a more accurate file storage process in Strato Workflow, the system was updated so that it only considers form field parameters from the current workflow step during document generation. This addresses a PDF storage error that occurred after the system mishandled parameters with the same name when multiple document generation steps used the same template.
The handling of workflows with configured Step Validity dates has been enhanced with a newly implemented validation to ensure that the step validity processing is skipped once a workflow is stopped. Previously, the step validity function continued to run even when workflows were completed, which caused workflows to progress and send reminder emails despite being stopped at specific dates.
The document generation process has been improved to ensure that the system accurately captures all required data when handling key fields and relevant key field filters are included in documents. This resolves a reported issue that occurred when a user encountered missing key fields in a generated document due to the system not being able to capture all the necessary key field data.
Some users reported that the mail icon in the Document Preview was missing when multiple employees were selected, but remained visible when one employee at a time was selected. The issue stemmed from the absence of essential information when copying a job, particularly when certain checkboxes are checked, resulting in the mail icon not being displayed. To resolve this, we have implemented a fix to ensure that all necessary and relevant parameters are included when generating documents for multiple employees.
A code change has been implemented to enhance the document editing experience in Strato Documents. This automatically checks and cleans pasted content and ensures that only essential formatting information is retained and processed, which resolves a previous issue wherein changes made within a document weren’t saved due to additional formatting layers introduced during copy-pasting within the editor.
The system was updated to ensure that file validity dates are always saved to the search server. Previously, users experienced issues when conducting File Search via Validity Dates due to the system not saving these dates if certain conditions were met. This update removes the status check and includes reindexing old data to fix the issue, ensuring validity dates are saved correctly.
Code changes were implemented to ensure that the system reflects accurate item counts for storage folders by processing the correct user information when counting files. This is in response to previous errors encountered wherein storage folders displayed a count of ‘0’ items despite containing documents, which happened because the system overlooked the users’ group and role permissions for folder access.
